Essential Duties and Responsibilities:
- Assembles highly confidential and sensitive information for the President and the executive staff
- Schedule and organize complex activities such as meetings, travel, conferences and department activities for all members of the executive staff.
- Interface with sales, marketing teams and customers.
- Demonstrate ability to work in a changing environment that requires multi-tasking and level minded thinking.
- Construct business letter drafts for executive team review.
- Use lean principals and thinking with performing task and reviewing new opportunities for office and team efficiency.
- Apply and maintain a professional demeanor with a callers, visitors and employee situations.
- Utilize advanced meeting planning and calendar organizational skills for the executive team, Senior Management Team and the Sales force.
- Act as the lead with planning and organizing quarterly sales meetings, customer visits and marketing themed meetings.
- Maintain and update filing system for executive staff information including office filing for the President.
- Create, prepare and review presentations for the executive staff and sales team.
- Prepare and execute travel expense reports and reimbursements for the president and executive staff.
- Assist and coordinate outside sales expense reports, territory and divisional sales reports. This includes the distribution of the sales reports to key personnel.
- Use interpersonal skills to handle sensitive and confidential situations and information.
- Work closely with the Director of Human Resources on all business related communications.
- Must have excellent written and oral communication skills to create, assemble and present data, reports and information. Information may be used for internal meetings or external for customers.

Qualifications, Education and/or Experience:
- A minimum of 7 years of professional executive support experience.
- High School graduate or GED equivalent required, college degree or advanced business training preferred.
- Must have and work under a high degree of confidentiality and trust.
- Ability to work in a changing environment that requires multi-tasking.
- Must have excellent written and oral communication skills.
- Advanced experience with Microsoft products such as Outlook, Word, Excel and PowerPoint.
- Strong interpersonal skills relating with other people and communicating with them in daily interactions. Team work/collaboration skills working with others to accomplish task and goals.
- Must have advanced calendar management skills and travel scheduling experience.
Physical/Mental Demands:
While performing the duties of this job, the employee must have the ability to handle multiple projects simultaneously in a fast-paced environment and is occasionally required to stand; walk; sit; use hands to operate computer keyboard, reach with hands and arms; climb stairs; balance; stoop, kneel; talk or hear. The employee must individually lift and/or move up to 25 lbs., occasional. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus In addition, mobility to cover 2 facilities (North & South Plant) is required. Must have good speaking and listening skills, maintain a professional, clean and neat appearance. Travel is not required.
